Your personal information is collected through our contact forms, only.
When visiting our website, we will not collect any personal identifiable data about you i.e., information from which you can be identified in person, such as IP-address or other unique identifiers. We only apply technical cookies for website operations and, therefore, we do not apply a cookie-banner nor publish a general cookie policy.
You may be asked to provide personal data for access to the services we make available for visitors, and for us to respond to your questions or requests.
We kindly ask you to fill in a form with your contact data to verify your identity and in order for IRG to respond. The contact form may be applied if you are interested in becoming an IRG Corporate Member, if you want to buy technical documents and other material available from our Document Archive, or if you have questions related to our website or other matters related to IRG.
The personal data we request in our contact forms are general personal data and are minimized to the relevant data required for its purpose, The basis for our data collection is your consent, cf. EU Regulation on GDPR, art. 6 (1) (a).
IRG Secretariat uses your personal data to verify your identity and respond to your request. IRG will contact you via mail, e-mail, or phone.
If you have requested documents from IRG Document Archive, we will upon payment send the document to your email address.
If you want to become an IRG Corporate Member, we will contact you to inform you about our Corporate Membership Program.
From time to time, we may use your personal contact data to send important notices, such as communications about changes to our terms, conditions, and policies.
We may also need to disclose personal data if we determine, it is required to enforce our terms and conditions or protect our operations or users.
The basis for processing your personal data is your consent, cf. EU Regulation on GDPR, art. 6 (1) (a), and IRG legitimate interest cf. GDPR art. 6 (1) (f).
When you apply for a Membership of IRG, we will ask you to fill in an application form and provide general personal data in order for us to contact you and progress your application to become a member of IRG.

As an IRG Member, you will have access to our IRG-Sharing platform behind log-in using
We use your personal data to validate your identity and evaluate your application to become a member of IRG.
When becoming a Member, we will ask you to provide information for your personal log-in to our IRG-Sharing portal, and we will process your personal data in accordance with our Privacy Notice to Members which you will find at this link.
The log-on site for Members includes cookies for session data to verify signed in users, and you are informed hereof on the log-in page.
From time to time, we may use your personal contact data to send important notices, such as communications about changes to our terms, conditions, and policies.
Because this information is important to your interaction with IRG, you may not opt out of receiving these communications as long as you are a Member with IRG.
We may also need to disclose personal data if we determine, it is required to enforce our terms and conditions or protect our operations or users.
The basis for processing your personal data is your consent, cf. EU Regulation on GDPR, art. 6 (1) (a). Further processing may be based on performance of a contract with you cf. EU Regulation on GDPR, art. 6 (1) (b), or IRGs legitimate interest, cf. Regulation (EU) 216/679 on data protection (“GDPR”) art. 6 (1) (f).
If you want to participate in an IRG organized event, you shall fill in a registration IRG membership form. Most of our events are for Members only.
You are asked to provide general personal data in form of your contact data as the minimum required data. You may include information on your title and occupation, the organization you work for, and your address.
The basis for our data collection is your consent, cf. EU Regulation on GDPR, art. 6 (1) (a).
IRG Secretariat uses your personal data to respond to your requests, register you as a participant for an event, and provide you with further information on the Event.
You contact data, and the information you have been provided, will be send to the conference organizers, which may be situated in a third country, cf. on transfers below.
Your name, title and the organization you work for, will be included into a participant list.
The basis for processing your personal data is your consent, cf. EU Regulation on GDPR, art. 6 (1) (a).
Information received on IRG forms is kept in IRGs records only as long as is it necessary to respond and process the request. For Members, personal data will be stored as long as you’re an IRG Member.
IRG will keep relevant personal data stored to comply with legal or regulatory retention rules, and IRG will retain personal data related to payments for 7 years under the Swedish Book-keeping Act (Bokföringlagen) and in order to be document IRG income.
IRG is also keeping a historical archive of activities, which includes membership information and records of events. For this purpose, IRG will keep names of members and participant lists of events.
The basis for storing your personal data is your consent, cf. EU Regulation on GDPR, art. 6 (1) (a) and our compliance with legal obligations, cf. GDPR art. 6 (1) (c), and our legitimate interest, cf. GDPR art. 6 (1) (f).
You may withdraw you consent by contacting the IRG Secretariat at irg@ri.se
When you withdraw your consent, IRG will no longer contact you, and IRG will not pursue to respond to your request raised in the IRG forms.
If you withdraw your consent for Event Registration before the event is held, you cannot participate in the event, and you will be deleted from the participant list. You will not recover event fees paid. If your consent is withdrawn after the event, IRG will delete your personal data, and you may assert your rights to be deleted from the participant lists, cf. the section on your rights below.

For documentation of payments received and further legal obligations, IRG will retain the minimum of personal data required, cf. section above on how long we store personal data.
FUTURE: IRG does not store personal data on the public website, but the filled in forms are stored on servers in [an encrypted environment]. The membership IRG-Sharing portal behind log-in will include personal data.
IRG takes precautions, including administrative, technical, and physical measures, to safeguard your personal data against unauthorized access, disclosure, alteration, and destruction. The IRG Secretariat is situated in Sweden, and your personal data will be processed from Sweden when responding to your filing of IRG forms. The data is stored on our on-prem servers located with our Swedish provider of IT-services. [Discription of other security measures]
You may use our membership portal IRG-Sharing to share information. The personal data you share will be visible to other Members who are committed by our Terms-of-Use for the IRG-Sharing portal, and we protect your personal data according to our Privacy Notice for Members.
IRG has outsourced certain functions to our service provides who for purpose of delivering services have access to our public website and the membership portal IRG-Sharing behind log-in.
We may share your personal data with our service providers for the specific purpose of their services. These services include providing IT facilities for our website located at on-prem servers in Sweden, managing the website facilities and designs, including managing and enhancing customer data. These service providers are obligated to protect your personal data.
For service providers located in third countries which have not be recognized by the EU Commission as providing an adequate level of data protection, the service providers will act under IRGs instructions and established security measures, including confidentiality obligations, and they will be committed under the Standard Contractual Clauses issued by the EU Commission. You may contact IRG for further information.
IRGs websites includes links to third-party websites, and information collected through these websites may include location data or contact details and is governed by their privacy practices. IRG is not responsible for the content of other companies’ websites or for their practices in collecting personal data. When you visit other websites, you should always read the website’s privacy policy and other relevant policies, such as cookie policies.
We will retain your personal data for the period necessary to fulfill the purposes outlined in this Privacy Policy or for such longer retention period as required or permitted by law. Please se the section above on “For how long do we hold your Personal Data”.
How you can control and access your personal data
You have several rights concerning your personal data processed by IRG:
You can at any time request a copy of the personal data we hold about you.
lf you find that we hold inaccurate information about you, we will correct this as soon as we have been made aware of it.
You can on certain grounds request erasure of the processing of your personal data under certain conditions.
You can request restriction of the processing of your personal data under certain conditions which, with the exception of storage, will restrict us only to process with your consent or for the establishment, exercise or defense of legal claims or for protection of the rights of another natural or legal person or for reasons of public interest.
You can in certain cases object to our processing of your personal data that we base on the legitimate interests of IRG, as described above.
You can obtain a digital copy of most of the personal data you have provided to IRG, which we process in our systems. We can also, at your request and if technically feasible, transfer this personal data directly under the rules on data portability.
